Ask each person involved to log a normal week, including reminder emails, phone chases, filing certificates and audit prep. Most teams undercount because the work is spread in small pieces across several people.
What if the net savings come out negative?
Then at your inputs the subscription costs more than the time it saves, and the payback reads as not recovered. The switch may still make sense for audit readiness or fewer lapses, but this tool will not show that benefit unless you lower the price or raise the hours.
Should I include the value of avoided lapses?
